Meeting Room Request

Requests will be accepted on an individual basis, as the deadline to submit a request has passed.

Any event held during the dates of the AACTE Annual Meeting and not part of the official program but includes participants of AACTE membership or annual meeting registrants.

• Advisory Board Meetings
• Business Meetings
• Committee Meetings
• Executive Meetings
• Specific Study Meetings
• Staff Meetings
• Receptions

Organizations (commercial companies, not-for-profit groups, government agencies, etc.) that wish to hold meetings of any size or nature in any space at the JW Marriott Indianapolis or the Marriott Indy Hotel must complete the appropriate applications for activity, be approved, and comply with the guidelines. Event activity guidelines are subject to change.

• Access to AACTE-approved promotional opportunities and attendee list is not permitted for the promotion of meetings or activities.
• One application for each meeting must be completed. Applications with more than one meeting should be combined into one complete request.
• The sponsor of the event is liable for any F&B ordered or requested Audio Visual items regardless of final attendance.
• Signage for the event is only permitted directly outside of the assigned meeting room. Directional signs, advertisements, banners, etc., are not permitted in the hotel lobbies.

Unavailable Meeting Times
Events may not be held during the following times (times are subject to change):

• Friday, February 24, 2023 | 1:00 p.m. – 5:30 p.m.
• Saturday, February 25, 2023 | 9:00 a.m. – 11:30 a.m. or 1:00 p.m. – 5:15 p.m.
• Sunday, February 26, 2023 | 8:30 p.m. – 12:30 p.m.

Once approval is granted, the organization must work directly with the AACTE Event Manager to make arrangements pertaining to the proposed meeting. All costs associated with the function (e.g., room rental, food, beverage, audiovisual equipment, and labor) are the responsibility of the organizing group.
